Terms and Conditions
IN GENERAL
Welcome to Egn Boutique Hotels Terms and Conditions. The name of the company operating the hotel and entering into the agreement is stated in the booking confirmation as "Egn" or "the Hotel." Unless a special agreement has been made, the following rules apply, with specific rules for conferences and group bookings.
BOOKING AND CONFIRMATION
All reservations are made online via the hotel's website. A reservation becomes binding when it has been confirmed, the hotel has received valid credit card information, and you have been assigned a booking reference. Confirmation can be communicated verbally, in writing, or through our booking system.
When booking, you must provide your name, address, email address, arrival and departure times, and credit card details. The credit card will be charged for the first night upon booking and validated for the total amount 48 hours before arrival. It is important to provide a valid email address to receive the booking confirmation. When booking the gourmet menu during the regular booking process, the guest is responsible for actively reserving a table, as the hotel cannot guarantee table availability in the restaurant on the day of arrival. Note that this does not apply to reservations for gourmet stays, mini-holidays, or similar packages.
RESTRICTIONS
Egn Boutique Hotel:
We welcome children aged 15 and above. Unfortunately, children under 15 years old and infants are not invited to stay with us. We appreciate your understanding of our policy, which aims to maintain a desired atmosphere at our hotel. Please note that we do not offer extra beds in any of our rooms. We consider a person to be an adult if they are 15 years or older at the time of departure. Due to the age and design of the building, we regret that we do not have any handicap facilities. We apologize for this inconvenience. For the comfort of all our guests, including those with allergies, and for hygiene reasons, we do not allow pets anywhere in the hotel.
Egn Restaurant:
Restaurant Egn is a gourmet restaurant, and therefore we do not invite children under 15 years old. We do not offer a children's menu or an a la carte menu. Bringing your own food and drinks is not allowed. We appreciate your understanding of our policy aimed at maintaining the high standard and atmosphere of our gourmet restaurant. Please see the section: Allergies and Dietary Requirements.
ARRIVAL AND DEPARTURE
Check-in:

Guests can check in between 3:00 PM and 5:30 PM local time.

Please note our limited reception opening hours. For check-in after 5:30 PM and until 10:00 PM, a fee of DKK 450.00 will be imposed.

We are unfortunately not available after 10:00 PM, and the reservation will be considered a no-show, with fees according to our cancellation policies.

Guests who do not show up without prior arrangement will have the reservation canceled with fees according to our cancellation policies.

Late check-in is possible provided that:

The reservation fee has been paid.

Your credit card has been validated.

The arrangement for late check-in must be made with the hotel at least 24 hours before arrival.

Please coordinate and confirm this arrangement directly with the hotel to avoid any unforeseen circumstances.

If these conditions are met, no late check-in fee will be imposed.
Check-out:

The latest check-out time is 10:30 AM (local time) on the departure day.

Please settle all outstanding amounts during the reception's opening hours from 8:00 AM to 10:30 AM.

Late check-out between 10:30 AM and 12:00 PM will be charged DKK 450.00. After 12:00 PM, an extra night will be charged.

Partial hours will be charged as a full hour. Please thoroughly review the room before check-out to avoid forgetting belongings.
CANCELLATION AND NO-SHOW:
Cancellations and changes can be made until 10:30 AM local time 2 days before arrival unless otherwise agreed upon at booking or applies to the selected rate.
In case of a no-show without prior cancellation or cancellation after 11:00 AM local time 2 days before arrival, payment for one night will be charged.
CANCELLATION CONDITIONS FOR COMPANIES, EVENTS, AND GROUP RESERVATIONS (+8 people):
General Conditions:
In case of cancellation or annulment of a booking without a requirement from the authorities, the full amount for the planned event or event may still be charged.
Cancellation Rules:

Up to 60 days before your event/reservation: No additional charges - 100% refund, minus the reservation fee.

Up to 30 days before your event/reservation: 25% of the total price may be charged, minus the reservation fee.

Up to 14 days before your event/reservation: 50% of the total price may be charged, minus the reservation fee.

Less than 14 days before your event/reservation: 100% of the total price will be charged.
Reservation Fee:
Reservation fees are non-refundable.
Cancellation:
Any cancellation of an event must always be made in writing and sent to: egn@egnbb.dk.
GIFT CARDS
The validity of the gift card is two years and cannot be redeemed for cash. Generally, the amount is not refundable, and when the validity period expires, it can no longer be used as payment. When redeeming the gift card, if the remaining amount is below DKK 100, it will be paid in cash. Amounts over DKK 100 are issued as a new gift card.
FORCE MAJEURE
Conditions and events beyond the control of the hotel and/or guest justify free cancellation. This includes but is not limited to natural disasters, strikes, lockouts, fire, war, pandemic, delivery failure, or other extraordinary events.
EARLY DEPARTURE AND INDEFINITE STAYS
If you leave the hotel before the reserved period, it may result in price adjustments. Contact the hotel to inform them of your departure. For indefinite stays, where you extend the stay one night at a time, you must inform the hotel of your departure no later than the day before by 12:00 PM. Otherwise, payment for the full price of the stay will be charged. The hotel will inform you by 12:00 PM the day before if there are no available rooms.
HOTEL OBLIGATIONS AND YOUR REQUESTS
If the hotel cannot provide the reserved room, you have the right to an equivalent or better room at no extra cost. Specify your requests when booking to prepare the hotel for your stay. Our hotel is non-smoking, and violating the smoking ban may incur additional costs.
PAYMENT
Advance payment is required for certain offers, including group reservations and events. Authorization of the amount on the first night's room price 48 hours before arrival is required on an active credit card approved with MitID. Payment will be deducted at the final settlement. In case of cancellation after the cancellation deadline, the reservation fee/prepayment is withheld, and a charge for one night's stay is applied. Generally, room bills must be paid upon arrival, and we accept the most common credit and debit cards. The hotel is not obligated to accept credit and debit cards, checks, vouchers, or foreign currency unless offered.
STORAGE OF VALUABLES AND LUGGAGE, AND STORAGE OF VALUABLES IN OUR RECEPTION
Your valuables can usually be stored in the hotel's safe. The hotel does not store luggage in a baggage room. Do not leave valuables or luggage unattended during check-in, check-out, or during breakfast. The hotel is not obligated to store items of great value or items that may threaten the safety of staff or guests. The hotel is only responsible for damages if they result from intentional or negligent actions on the part of the hotel.
GUEST RESPONSIBILITY
The guest is responsible for compensation for damage, defects, or theft caused intentionally, dishonestly, or negligently.
GUEST'S OWN SAFETY
Always be aware of emergency exits and firefighting equipment.
ACCESSIBILITY & MOBILITY IMPAIRMENTS
Unfortunately, our hotel is not handicap accessible as there are stairs in the building and no elevator. Please note that while Restaurant Egn can be accessed without using stairs, the restrooms are not accessible without navigating stairs. We therefore recommend that guests with limited mobility consider this when making a reservation.
ALLERGIES AND DIETARY REQUIREMENTS
The restaurant cannot accommodate all dietary habits, diets, or extensive allergies, including, but not limited to, milk protein allergy, lactose intolerance, and egg allergy. However, we offer a menu without, for example, meat, fish, or gluten with prior notice no later than 48 hours before arrival. This allows us to assess whether we can accommodate these needs in the current menu. Please note that we unfortunately cannot cater to allergies or other special needs on the day. There will be an additional charge for special diets, as the procurement and preparation of these dishes are often more expensive and require extra time.
Selection of vegetarian or other special diet dishes is possible for an additional charge of DKK 50.00 per person. Unfortunately, we cannot accommodate vegan diets.
RESERVATIONS IN RESTAURANT EGN
Deposit:
To prevent "no-shows," we charge a deposit for reservations for more than 6 guests. The deposit is paid upon reservation, and failure to pay will automatically cancel the reservation.
Cancellations:
Cancellations should be notified 48 hours in advance to restaurant@egnhotel.dk. Cancellation within 48 hours will result in a full deposit refund.
FOR CANCELLATION OF TAKEAWAY
Online purchases of food and beverages are not covered by the right of withdrawal according to the Consumer Agreement Act. Therefore, no refunds are made after completing the purchase.
HANDLING OF PERSONAL DATA
Egn processes personal data in accordance with Egn's Privacy Policy. Please read our Privacy Policy to understand how your personal information is handled in connection with your reservation and your rights in this regard.
RESERVATIONS
We reserve the right to errors, omissions, and changes in information on price, specifications, and similar in online, brochures, and other sales materials. Any errors and changes cannot be invoked against Egn.
